Breaking Down Steps In Project Management Process

Every project manager must be familiar with the five stages of the Project Management Process. This will help them to manage the projects effectively. Every project consists of different phases and these phases are structured in a systematic way so that it becomes easier for the project manager to manage their projects.

Project Initiation

When undertaking a project, one of the first steps is to define it. A project is an activity that must be completed in order to produce a specific result with unique constraints and goals. The purpose of defining your project is to understand what you are working towards. This helps with setting priorities, creating timelines, and helping you determine if something is worth doing or not.

When determining whether or not it’s worth doing something as a project, ask yourself these questions:

  • What are the benefits?
  • What are the risks?
  • Do I have all assumptions documented?

Project Planning

The first step in project management is to define the problem. This includes figuring out what goals you want to achieve and how you’re going to do that. The most important thing about this process is that you don’t worry about what other people’s goals are, or whether or not they are realistic for your situation.

Instead, focus on being ambitious but realistic at the same time. For example: if you wanted to get fit three months from now but have never been athletic before in your life, maybe start with something more achievable like “going hiking once a month” instead of “running a marathon.”

It’s also important not only to set goals but also to understand why those goals matter so much!

For example: why do I want to lose weight? What will losing weight mean? Will it improve my confidence and self-esteem? Will I be able to wear clothes better? Be healthier overall?

Project Execution

In this stage, the project manager accomplishes the tasks and activities necessary to complete the project. In addition to monitoring and controlling work performance, he or she must organize, staff, and direct resources as well as communicate with stakeholders.

The following list contains some of the key responsibilities that may be involved in this phase:

  • Organize – Plan how the project will kick off and complete by defining roles and responsibilities for team members; creating timelines; identifying risks; planning communications strategies; developing a budget baseline; coordinating with other projects (if applicable). Additionally, consider utilizing a digital planner for iPad to streamline organization and collaboration among team members, ensuring efficient task management and progress tracking.
  • Staff – Identify personnel who have knowledge of your specific industry or area of expertise (if needed), then hire them if they are available on staff or contract them as consultants
  • Communicate – Create reports that show progress against milestones/deliverables so stakeholders can keep informed about what is occurring within their organizations’ projects
  • Monitor – Track progress towards goals using analytics tools like Jira or Trello which allow you to view all open issues across multiple teams in one place

Project Monitoring & Controlling

Monitoring and controlling a project are an important part of the Process group.

Monitoring ensures that the project is on track and executed effectively while controlling ensures that it stays on track. The tools used for monitoring are a formal reporting system, such as Microsoft Project’s default reports, or a tool like Redmine to see all of your projects in one place. These can be used to generate status reports for stakeholders or keep track of major tasks through their completion dates (or if they’re behind schedule).

Project Closing

Project closing activities are the final phase of the project life cycle. They include:

  • Final project review
  • Final project report
  • Documenting closure activities
  • Final project presentation
  • Sign off and archiving of project documents and files. You can store these files and reports in a single repository or distribute them across multiple systems, including electronic file servers or shared drives on your network. Once archived, these resources are available for future use by others who may need access to them for research purposes or other projects (projectors).

The first step in the project life cycle is to define the project. This is done by creating a project charter, which is a document that outlines what the project is, why it’s being undertaken and who will be involved. For the next step, you can plan how you can carry out your project. This includes identifying the resources needed for the project, as well as setting goals and objectives for it.

The third step in the best PRINCE2 training process is to execute the plan. This means taking action on all aspects of the project and following through on any commitments made during planning.

After execution comes monitoring and controlling activity on a day-to-day basis. This involves measuring performance against targets, identifying risks and issues that could affect performance, and addressing them before they become problems. The final stage of best PRINCE2 training is closing down projects once they’ve been completed successfully or abandoned if they’ve failed to meet objectives.
